AI consulting in Florida for a workflow your business can measure

Megaleios provides AI consulting in Florida for small businesses deciding how AI should support customer intake, quoting, scheduling and back-office work. We have built software since 2012, delivered 150+ products, and operated as a U.S. company based in Orlando since December 2022, with engineering in Brazil; our fixed-fee, two-week AI Assessment turns a real workflow into priorities, test criteria and an implementation brief.

Who it’s for

Where a Florida small business can start evaluating AI

English and Portuguese inquiries lose context between teams

A service request arrives in a message, the quote lives elsewhere and staff call the customer to confirm the details. We select one journey to test whether AI can organize free-form requests and draft a response for review. The service address, customer name and commercial terms must retain their meaning across both languages and each handoff.

The quote and the schedule describe different jobs

Before adding an assistant to customer conversations, identify the authoritative source for approved pricing, availability and scope changes. A natural-language instruction does not authorize an invented appointment or discount. The assessment separates understanding a request from booking, charging or changing a business record, with approval at the required points.

I need a dollar-based business case before funding a build

Request volume, review time and exceptions belong in the calculation. We establish the current workload with your operations team and propose a testable hypothesis, considering your U.S. software vendors and who can grant access. If a simple rule or an integration can solve the issue, it should appear as an alternative in the decision brief.

What we deliver

The assessment connects an AI opportunity to operating rules

The scope below describes consulting, not a working production system. Integrations, a pilot and production operations require separate scopes and agreements. The examples illustrate assessment questions, not results achieved for Florida clients.

DeliverableDetails
Priority workflow mapFrom initial request to service confirmation, identifying owners, authoritative records and repeated manual work.
English and Portuguese samplesAuthorized examples of requests and exceptions, including addresses, dates and commercial terms that must survive translation.
Vendor and access inventoryOwnership of CRM, scheduling and accounting accounts, available APIs and the permissions engineers actually need.
Metric and stop conditionA baseline for the current workflow, a quality criterion and the conditions that require human review or stop the test.
Options comparisonDeterministic rules, AI assistance or an integrated pilot, with constraints and operating costs to investigate.
Implementation briefPriorities, dependencies and acceptance criteria for a separate proposal with fixed scope, price and timeline.
Documentation & source codeThe assessment produces decision documentation. Source code from a subsequent implementation transfers after full payment under its contract.
60-day warrantyApplies to corrections after the separately contracted implementation launches; production delivery is not included in the assessment.
How it works

Two weeks to make a decision, with implementation scoped separately

  1. Choose the workflow and decision owners

We select one Florida operating workflow and identify who approves pricing, scheduling, data handling and acceptance. Your business names the people responsible for applicable U.S. requirements and provides examples it is authorized to share.

    Week 1 · alignment
  2. Examine data and handoffs

We review authorized samples, working languages and the connection between requests, quotes and confirmation. We document missing information, decisions that must remain with people and vendor dependencies that could prevent a useful test.

    Week 1 · analysis
  3. Compare hypotheses and acceptance criteria

During the second week, we compare options against the existing process. Criteria include information quality, review effort and ongoing dollar costs, alongside response time. The brief identifies assumptions that still need evidence from a pilot.

    Week 2 · decision
  4. Deliver the brief and define the next agreement

You receive priorities and a proposed scope. The AI Assessment ends after two weeks; the 30-day AI pilot is a separate offering with before-and-after measurement and human review. Delivery of that pilot requires a specific proposal.

    Week 2 · plan
Real project

A public software reference, with a clear limit on what it proves

We do not yet have a public AI case study demonstrating results for this Florida small-business use case. The Meio & Mensagem portal and CMS in Brazil provides a related reference for our experience building a platform around an editorial workflow; it is not presented as an AI project or a U.S. business result. Evidence for your assessment starts with authorized operating data and a criterion a pilot can actually test.

Pricing

A fixed assessment fee, followed by a separately scoped build

The AI Assessment costs US$5,000 and takes two weeks. The fee is 100% credited toward implementation contracted within 30 days. It does not include building or running the solution. A separate fixed implementation proposal reflects the factors below; we do not publish a Florida implementation price range.

  1. Access to U.S. business systems. A scheduling API with test access supports a different plan from a vendor that only exports files. Licenses, permissions and vendor assistance must be confirmed before implementation.
  2. Exceptions between quoting and delivery. Address changes, additional work and discount requests need an owner. The more actions a solution may execute, the more carefully its limits, validation and failure recovery must be scoped.
  3. Quality across both languages. Accepting English and Portuguese text is only a starting point. Review must check amounts, terms and service details against the same business rules, using samples that reflect real customer situations.
  4. Operating costs and human review. Model usage, infrastructure, external tools and reviewer time belong in the calculation. Separate project fees from the cost of running the workflow, and assign someone to monitor that ongoing spend.

After discovery, you receive a fixed scope, price, and timeline. Tell us about your operation and constraints so we can assess what belongs in the first release.

A simple rule, AI assistance or a connected pilot?

ApproachWhere it helps this workflowLimit to validate
Rules-based automationMove an approved quote into the schedule when fields and conditions are already defined.A person handles exceptions; every task does not require a model.
AI assistanceOrganize a free-form inquiry and suggest an English or Portuguese response for review.A person verifies commercial terms and details before sending a reply or confirming service.
Integrated AI pilotConsult approved sources and test a bounded action with records and approval.API access, permissions, rollback and stop criteria must be included in the scope.

A reviewed draft may be the right first application. Greater autonomy needs evidence of quality and an agreed way to handle exceptions in the U.S. workflow.

Choosing a partner

What to ask an AI consulting provider in Florida

AskWhy it matters
Will you follow a request through service confirmation?A stand-alone chat demo does not show what happens between quoting, scheduling and accounting.
How do both languages follow the same commercial rules?Translation must preserve the approved amount, address and terms, including when an inquiry is incomplete.
Who receives system access, and which data may be shared?Your business should approve permissions and sharing with engineering in Brazil before accounts are opened.
Who validates requirements for my U.S. operation?Technical consulting works from requirements approved by your responsible specialists; a local base is not certification.
What evidence establishes that the test improved the process?Ask for a baseline, a quality criterion and operating costs that include human review.
What does the assessment buy, and what agreement comes next?Distinguish the decision brief, implementation, pilot and support; confirm currency and payment terms in the proposal.
Common mistakes

Mistakes to resolve before funding an AI pilot

  • Automating commercial terms without an owner. Identify who approves discounts, rescheduling and additional services. AI must consult the authorized source and escalate what it cannot resolve.
  • Testing only in the owner’s preferred language. Include examples from customer-facing staff and the people delivering the service. A fluent response can still contain an incorrect address or changed commercial terms.
  • Granting broad access for convenience. Start with authorized samples and necessary permissions. Document who may read, change and review data across the U.S. operation and the engineering team.
  • Treating three offers as one. The free three-minute quiz helps you explore the topic; the paid AI Assessment takes two weeks; the 30-day pilot delivers a separately contracted implementation scope.
Built with The assessment can consider Claude, OpenAI, Node.js, .NET/C#, PostgreSQL and API connections to existing systems. Tools, hosting and permissions are scoping decisions. Starting an assessment does not require replacing your CRM or accounting software.
FAQ

Questions about AI consulting in Florida

How much does AI consulting for a Florida small business cost?

The AI Assessment is US$5,000 for two weeks, with 100% credited toward implementation contracted within 30 days. Building the solution, third-party services and recurring operations are scoped separately. The proposal confirms the contracting company and the applicable payment terms.

What is delivered in two weeks, and what takes 30 days?

The two-week assessment delivers priorities, workflow analysis, test criteria and a plan. The 30-day AI pilot is a separate offering for testing an application with human review and before-and-after measurement. The free three-minute quiz is an exploration tool and does not replace either paid engagement.

Are you a U.S. company, where is your team, and can we meet locally?

Megaleios is a U.S. company based in Orlando since December 2022. We began building software in Brazil in 2012, have delivered 150+ products and have engineering in Brazil. We agree on English or Portuguese communication and review times; on-site meetings are not promised in this offering.

Can the assessment cover English and Portuguese customer requests?

Yes. The selected workflow can include authorized samples in both languages. Validation checks fields and commercial terms as well as fluent wording. Your team identifies terms, data and decisions that require review before a response reaches a customer.

Do we need to replace our scheduler, CRM or accounting tool?

That is not a prerequisite. We first review the workflow and your current vendors’ capabilities. APIs, permissions and test access determine what can be connected. If a tool cannot support the proposed action, the plan records that constraint before implementation is priced.

Who approves data and industry requirements for our U.S. operation?

Your business identifies the owners and specialists responsible for validating applicable requirements. We translate approved requirements into technical decisions and test criteria. The assessment does not provide legal advice or certification; data sharing and access must be approved before use.

Can we start without a public Florida AI case study?

Yes, if the engagement rests on a verifiable problem and agreed evaluation criteria. We have no public AI case study proving this use case. Meio & Mensagem is a Brazilian platform and CMS reference, not evidence of AI, a local result or a forecast for your operations.

Will we own the code, and what happens after launch?

The assessment provides decision documentation. If you commission implementation, source code and documentation transfer after full payment under that contract. Implementation includes a 60-day post-launch warranty for corrections; ongoing support, behavior reviews and further development need a separately agreed plan.

How do payments and currency work for a Florida business?

The proposal identifies the contracting company, currency, milestones and payment terms. The U.S. AI Assessment is US$5,000; implementation has its own fixed proposal. Confirm who contracts third-party services and monitors ongoing charges instead of assuming those costs are included in the project fee.

Do you work with companies in Brazil?

Yes. We serve companies in Brazil and the United States in English and Portuguese. For a business operating in Florida and Brazil, we define owners, permissions and commercial rules for each operation. A request in two languages does not automatically need the same data access or autonomy.
